THE ROLE
This role sits at the centre of agency operations, owning workflow, delivery and resourcing across the business to ensure all client work is delivered efficiently and to a high standard. The Traffic Manager is responsible for overseeing the end-to-end delivery of projects across the agency, ensuring work moves smoothly from briefing through to completion while maintaining quality, timelines and operational efficiency.
The Traffic Manager oversees the tasks, briefs and timelines entered into the workflow system by Account Managers and Marketing Assistants, ensuring all work entering production is clear, accurate and properly scoped. They have the authority to push back on incomplete or unrealistic briefs to ensure delivery teams are set up for success and work is prioritised effectively.
The Traffic Manager directly manages the Studio team (Designers), Copywriter and Marketing Assistants, ensuring workloads are balanced, priorities are clear and teams are always working on the most important tasks.
A key responsibility of the role is ownership of the agency’s workflow management system (ClickUp). The Traffic Manager ensures work is structured correctly within the system, maintains the integrity of workflows and project templates, and oversees integrations between the CRM and ClickUp, including the use of automations to improve efficiency and reduce manual work.
The Traffic Manager monitors team capacity and utilisation to ensure resources are allocated appropriately and projects progress smoothly through the agency.
The role also requires strong commercial awareness, monitoring project delivery against allocated hours and identifying operational inefficiencies that may impact profitability. Where projects appear at risk of exceeding scope or timelines, the Traffic Manager flags this early and recommends adjustments to workflow, resourcing or timelines.
Success in this role is measured by on-time delivery, quality of output, workflow accuracy, team utilisation, operational efficiency and the overall reliability of the agency’s delivery systems.
Key Responsibilities
- Oversee the end-to-end delivery of all client work across the agency.
- Review tasks, briefs and timelines entered by Account Managers and Marketing Assistants to ensure clarity, accuracy and realistic delivery timelines.
- Ensure briefs are clear, complete and realistically scoped before work enters production.
- Manage the Studio team (Designers) and Marketing Assistants, ensuring balanced workloads and clear priorities.
- Monitor team capacity and utilisation to ensure resources are allocated effectively.
- Own and maintain the agency’s workflow management system (ClickUp), ensuring tasks, templates and workflows are structured correctly.
- Oversee integrations between the CRM and ClickUp and ensure automations are functioning effectively.
- Continuously improve workflows, systems and processes to increase efficiency and reduce manual work.
- Monitor projects against allocated hours and flag potential scope or timeline risks early.
- Work closely with leadership to ensure operational delivery supports the agency’s commercial goals.
Required Skills & Experience
- Previous experience in a Traffic Manager, Production Manager or Operations role within a marketing, creative or digital agency.
- Strong experience managing workflows and project delivery across multiple teams and deadlines.
- Experience using workflow or project management systems (such as ClickUp, Asana, Monday or similar).
- Excellent organisational and prioritisation skills.
- Strong attention to detail and ability to maintain operational structure in a fast-paced environment.
- Ability to identify and resolve unclear briefs or unrealistic timelines before work enters production.
- Strong communication skills and ability to coordinate across multiple teams.
- Solid understanding of creative production processes, including design and finished art standards.
Nice to Have
- Experience managing or administering ClickUp.
- Experience building workflow automations or improving operational systems.
- Understanding of project profitability, utilisation tracking or job costing.
- Experience implementing AI or automation tools to improve production efficiency.
